budget administration   /  Positions in Oracle HR

Budget Administration is responsible for the:

Creation of University position strings in the Oracle HR System

Reclassification of University position strings in the Oracle HR System

Verification that all University regular/permanent positions are restricted to one employee (occupant), except for temporary training (transistion) purposes.  


Oracle HR position strings consist of three (3) segments   

 1st  Segment:  Organization - HR Organization     

 2nd Segment:  Position Number - 5 digit number  

 3rd Segment:  Year-Month-Date - Position creation or reclassification date

 

*Departments can run the HRUAB University Departmental Position Summary report in the Oracle Administrative System to get a current listing of active/frozen position strings and occupants.  


Budget Administration requires the following criteria prior to the creation/reclassification of a University (non-hospital) position string:    
  • Non-faculty (Staff) - Regular/Permanent
    • In compliance with University Compensation Guidelines, an approved Compensation Request Form (CRF) must be received.
    • Allowable assignment categories:
      • 01 Full-time Regular/Permanent
      • 03 Part-time Regular/Permanent
    • New position numbers or a reclassification of existing position number:
      • Position number as determined by department*
      • Position number must not end in 99 (example: 12345)
  • Non-faculty (Staff) - Irregular/Seasonal
    • Allowable assignment categories:
      • 02 Temporary
      • 04 Irregular
      • 06 Student
      • 07 Interns and/or Residents
      • 20 Postdoctoral Trainee
      • 21 Postdoctoral Employee
      • 99 Requisition Employee
    • New position numbers or a reclassification of existing position number:
      • Position number as determined by department*
      • Position number must end in 99 (example: 12399)
  • Faculty - Regular/Permanent
    • Allowable assignment categories:
      • 01 Full-time Regular/Permanent
      • 03 Part-time Regular/Permanent
    • New position number or reclassification of existing position number:
      • Position number as determined by department*
      • Position number must not end in 99 (example: 12356)
  • Faculty - Irregular/Seasonal
    • Allowable assignment categories:
      • 02 Temporary
      • 04 Part-time Irregular
      • 99 Requisition Employee
    • New position number or reclassification of existing position number:
      • Position number as determined by department*
      • Position number must end in 99 (example: 12399) 

*Departments can run the HRUAB University Departmental Position Summary report in the Oracle Administrative System to determine an available position number (second segment) in order to complete required forms.
